How to Decline a Job Offer: 7 Emails That Keep the Door Open

To decline a job offer and keep the door open, reply promptly, thank the employer, say clearly that you are declining, give one short reason and say you hope to stay in touch. The one constraint: the message has to be unambiguous, because a polite "maybe" leaves the hiring manager waiting. The University of Cincinnati puts the sequence in one sentence: "To decline a job offer politely, respond promptly, thank the employer, clearly state your decision, keep your explanation brief and leave the door open for future contact." Below are the steps and seven complete emails. Written by Mustafa Tarabya, who hired for his own company, read every application himself and now writes CVBooster's guides.

Saying no takes three days of drafting and thirty seconds to read. The employer has already seen the worst version of this email, which is no email at all.

The standard decline email

Here is the version that works for most situations: you have accepted a different offer. Short, specific, warm.

Mid level: Decline email, accepted another offer (94 words)

Subject: Marcus Bell, Operations Analyst offer

Dear Ms. Whitfield,

Thank you for offering me the Operations Analyst position at Riverbend Foods, and for the time you and the team gave me over three interviews. After careful consideration, I have accepted another role that is a closer match for my current goals, so I must decline your offer.

I enjoyed meeting your team, and I was impressed by the plant tour. I would be glad to stay in touch, and I wish you every success with the search.

Sincerely, Marcus Bell marcus.bell@email.com | (555) 555-0144

The five steps

The University of Cincinnati's guide breaks the process into the same steps, and each one earns its place:

Purdue's Online Writing Lab adds the email basics: "Be sure to include a meaningful subject line", and open the message with a greeting. Put your name and the job title in the subject, so the person who finds it in a full inbox knows what it is.

If you need time before you decide

If you are not ready to say yes or no, ask for time first. CareerOneStop, the US Department of Labor's job search site, says to take time over an offer, even if you plan to say yes: "Start by expressing your appreciation and strong interest in the job, and then request at least 24 hours to decide." A short request is a courtesy, not a weakness.

Six more emails

Each is complete and can be adapted. Names are invented.

Declining because of pay, with a door left open

Complete Mid level: Decline email, salary too low example, 83 words, laid out as it would sit in the application form

Subject: Priya Nair, Marketing Manager offer

Dear Mr. Lindqvist,

Thank you very much for the offer to join Harbor Freight as Marketing Manager. I appreciate the time you gave me and how well the interviews went.

After thinking about it carefully, the salary does not match what I need for this move, and I have decided to decline. If the budget changes, I would welcome a conversation, and I would be glad to stay in touch in any case.

Best wishes, Priya Nair

Declining because the role is not the right fit

Subject: Tyler Nguyen, Customer Support Representative offer

Dear Ms. Alvarez,

Thank you for offering me the Customer Support Representative role at Pinecone Software. I enjoyed meeting the team and learning about the product.

I have decided that the role is not the right fit for the direction I want to take, which is closer to technical work, so I must decline. I appreciate your time and hope we can stay in touch.

Sincerely, Tyler Nguyen

Declining because of location or commute

Complete Mid level: Decline email, location example, 76 words, laid out as it would sit in the application form

Subject: Grace Kim, Data Analyst offer

Dear Ms. Reyes,

Thank you for the offer of the Data Analyst position. I was impressed by the team and the work.

After considering the commute and my family situation, I have decided I cannot take a role that is on site five days a week, so I must decline. If you ever open a hybrid role, I would be very interested to hear about it.

Kind regards, Grace Kim

Declining by phone, followed by a short email

Complete Mid level: Phone call script and follow-up email example, 70 words, laid out as it would sit in the application form

Mid level: Phone call script and follow-up email (70 words)

On the call: "Thank you for the offer. I have thought it over and I have decided to decline. I wanted to tell you personally because I appreciated how you handled the process."

Follow-up email: Dear Mr. Okafor, thank you for taking my call today. As I said, I am declining the Operations Manager offer. I enjoyed meeting you and would be glad to stay in touch.

Sincerely, Daniel Reyes

Declining after you already accepted

The University of Cincinnati page covers this too: if you must decline after accepting, "contact the employer as soon as possible, apologize for the inconvenience and explain that you've made a difficult decision based on what's best for your situation." Do it by phone first if you can.

Complete Mid level: Withdrawing an accepted offer example, 97 words, laid out as it would sit in the application form

Mid level: Withdrawing an accepted offer (97 words)

Subject: Elena Vasquez, withdrawing from the Project Manager role

Dear Ms. Whitfield,

I am writing to withdraw my acceptance of the Project Manager role at Riverbend Foods. I am very sorry for the inconvenience this causes you and the team. A family circumstance has changed since I accepted, and I am not able to start on the agreed date.

I know this is difficult to hear after the time you invested, and I am grateful for the offer. I will return any documents you have sent and will help in any way I can.

Sincerely, Elena Vasquez

Declining an internal or senior offer

Complete Senior: Decline email, senior role example, 79 words, laid out as it would sit in the application form

Senior: Decline email, senior role (79 words)

Subject: Omar Hassan, Director of Operations offer

Dear Mr. Lindqvist,

Thank you for offering me the Director of Operations position at Cormac Industrial and for the candid conversations over the last month. The decision was a close one.

I have decided to remain in my current role, where a program I started will take another year to complete, so I must decline. I admire what you are building, and I hope our paths cross again.

With thanks, Omar Hassan

Frequently asked questions

How do you decline a job offer politely?

Respond quickly, thank the employer by name, state clearly that you are declining, give one short reason and say you hope to stay in touch. Send it by email unless you have a close relationship with the hiring manager, in which case call first and follow up in writing.

How soon should you decline a job offer?

As soon as you have decided, ideally within a day or two. The employer cannot move on to other candidates until you answer, and a quick reply protects your reputation. If you need time to decide, ask for it in writing and name the day you will answer.

Should I explain why I am declining a job offer?

Give one short, honest reason, such as accepting another role, pay, location or career direction. You do not owe a detailed explanation, and a long one can lead to a negotiation you do not want. Avoid negative comments about the company or the people you met.

Can I decline a job offer after accepting it?

Yes, but contact the employer immediately, preferably by phone, and follow up in writing. Apologize for the inconvenience, give a brief honest reason and offer to help with the transition. It will cost you some goodwill, so use it only for a serious change of circumstances.
