2 Week Notice Letter: Five Templates and the US Rules

A two weeks' notice letter needs four things: the date, the role you are leaving, your last working day, and a line offering to hand over. Everything else is optional, and the length is the one thing people get wrong. The US Department of Labor sets no federal requirement for you to give a two week notice at all, and none for your employer to pay you the moment you go. Below are five complete letters, ready to paste into your email or print, plus a rules table checked in September 2026 for final pay, unused vacation and leaving on the spot. Count forwards from the day you hand it in, not from the next Monday. If you hand notice in on Wednesday 17 September, your last working day is Wednesday 1 October. Say that date in the letter so nobody has to do the arithmetic.

Less than two weeks, when the new job will not wait

Say the short notice out loud in the first line and give a reason in one clause. Do not pad it. Managers remember the tone more than the length of the notice.

If you will need this manager as a referee, the notice letter is the first half of that request. Name something specific they did. Vague thanks reads as filler.

Leaving immediately, with no notice

No federal law makes you serve a notice period. The Department of Labor's termination page puts the limit plainly: where no discrimination or whistleblower protection applies, "the termination is subject only to any private contract between the employer and employee or a labor contract between the employer and those covered by the labor contract".

Read your contract and your handbook first, then write two short paragraphs.

Notice plus a handover plan

If you hold something nobody else can run, the plan is the letter. Put it in the body of the email, not in an attachment nobody opens.

Week one: finish the stock count, write the till checklist, hand the supplier contact over on a joint call. Week two: run two weekend shifts with your successor closing while you shadow, then transfer the rota and the holiday tracker.

Say which accrued days you do and do not intend to take inside the notice period, so it stays a payout question rather than a rota question.

Two readings of that table. In California, a dated notice at least 72 hours out gets your money on your last day. And if your handbook promises a vacation payout, that promise is the agreement the FLSA points at, so save the handbook page before your access is switched off.

What not to write

A resignation letter and a job offer letter are the two documents you will still want in a folder in five years. Save both as PDFs the day they exist.

After the letter

Get the leaving date confirmed in writing. Ask about accrued vacation and the final pay date in the same email, and keep the reply.
