Personal Assistant Cover Letter: 7 UK Examples to Adapt

By · Published · Updated

7 min read

A personal assistant cover letter is the first piece of your work the employer sees, so it has to look like a PA wrote it: one page, no typos, the right name spelt correctly, and proof that you can run a diary, a travel plan and an inbox without being chased. Below are seven complete personal assistant cover letters for UK roles, from a receptionist applying for a first PA job to a PA to a chief executive. Each uses British spelling and the UK sign-off rules.

A PA cover letter with a typo in the manager's name has already answered the question. Nobody is rejecting you for being human. They are rejecting you because the job is not letting the typo out of the building.

Example 1: receptionist applying for a first PA role

Entry level: Receptionist to personal assistant (142 words)

Dear Mrs Okafor,

I am writing to apply for the Personal Assistant to the Operations Director role at Harrowgate Logistics, advertised on your website (ref. PA-0426).

For two years I have been the receptionist at a busy accountancy practice in Leeds, where I manage the meeting room diary for 14 partners, greet clients, answer the main phone line and book couriers and travel. When our office manager was on leave for a month last summer, I covered her diary management for two partners, including rearranging a full week of meetings after a train strike.

I would like to do that work full time. I am confident with Outlook, Teams and Excel, and I am discreet with client information.

Thank you for considering my application. My CV gives more detail, and I would welcome the chance to meet.

Yours sincerely, Chloe Barnett

What a PA does, in the government's words

The National Careers Service lists personal assistant as an alternative title in its executive assistant job profile. It says that as a personal assistant you would "set up meetings and make appointments", "take notes at meetings, and draft letters, memos and emails" and "manage travel arrangements, and book transport and accommodation". Those three lines are most of a PA job advert. Give one real example of each in your letter.

On the letter itself, the National Careers Service cover letter guide says: "You should always include a cover letter when you apply for a job using a CV." It describes the format as a short letter, usually three to five paragraphs.

The University of St Andrews careers centre is more precise in its cover letter advice: "aim for approximately 250–400 words and no more than one side of A4". It also says: "Where possible, quantify your achievements." For a PA, that means diaries managed, people supported and events organised.

Example 2: no PA experience, graduate

Personal assistant cover letter example, Entry level: Graduate with no PA experience

Entry level: Graduate with no PA experience (132 words)

Dear Mr Hughes,

I am applying for the Junior Personal Assistant position at Calloway and Pryce, as advertised on your careers page.

I graduated in business management this summer. Alongside my degree I was events secretary for the student law society, where I organised 12 speaker events in a year: booking rooms, emailing speakers, arranging train tickets and hotels, and writing up the committee minutes. I also worked 16 hours a week in a café, which taught me to stay polite when the queue is out of the door.

Your advert asks for someone organised, discreet and quick to learn. I would bring all three, and I am ready to learn your systems from day one.

Thank you for your time. I look forward to hearing from you.

Yours sincerely, Ellie Turner

Example 3: PA to a headteacher

Personal assistant cover letter example, Mid level: PA to a headteacher

Mid level: PA to a headteacher (119 words)

Dear Mrs Ashworth,

I am applying for the post of PA to the Headteacher at Calderwick Academy.

I have worked in school administration for five years, the last two as PA to the deputy head of a secondary school with 1,100 pupils. I manage her diary, prepare papers for governors' meetings, take minutes, handle confidential correspondence with parents and outside agencies, and organise the staff training days.

I understand that a head's diary changes by the hour, and that safeguarding and pupil information must be handled with care. I hold an enhanced DBS check and have completed the school's data protection training.

I would welcome the opportunity to visit the school and discuss the role.

Yours sincerely, Nadia Rahman

Personal assistant cover letter example, Mid level: Legal personal assistant

Mid level: Legal personal assistant (113 words)

Dear Ms Fenwick,

I am applying for the Legal PA position in the private client team at Holloway Marsh Solicitors.

For four years I have supported two partners in a property team, managing their diaries, preparing client letters and engagement documents, opening new matters and handling time recording. I am used to working with strict deadlines and with confidential client information, and I type at 70 words per minute with audio typing.

Your private client team works on wills, probate and trusts. I would like to build my knowledge in that area, and I learn quickly.

Thank you for considering my application. I look forward to hearing from you.

Yours sincerely, Gemma Whitlock

Example 5: private household PA

Personal assistant cover letter example, Mid level: Private PA to a family

Mid level: Private PA to a family (110 words)

Dear Sir or Madam,

I am writing to apply for the Private PA position advertised through your agency (ref. 2261).

I have been a private PA to a family in Surrey for three years. I manage two adults' diaries, the children's school and activity calendar, household staff rotas, travel in the UK and abroad, and the property maintenance schedule. I am discreet, I have a full clean driving licence, and I am used to plans changing late in the evening.

I would bring the same calm and attention to detail to your client's household.

Thank you for your time. My CV and references are attached.

Yours faithfully, Olivia Grant

Example 6: virtual PA

Personal assistant cover letter example, Mid level: Virtual personal assistant

Mid level: Virtual personal assistant (123 words)

Dear Mr Patel,

I am applying for the Remote Personal Assistant role at Bramwell Digital.

For three years I have worked as a virtual PA for four small business owners at the same time. I manage their inboxes and diaries, book travel, prepare invoices, and keep a shared task list so that nothing is lost between us. I work from a dedicated home office with secure storage and a reliable connection, and I reply within the hour during working hours.

Your advert mentions supporting a founder who travels often. Two of my current clients spend most of the month abroad, and I am used to working across time zones.

I would welcome a video call to discuss the role.

Yours sincerely, Hannah Lowe

Example 7: PA to a chief executive

Personal assistant cover letter example, Senior: Executive PA to a chief executive

Senior: Executive PA to a chief executive (128 words)

Dear Mr Lindsay,

I am applying for the role of Executive PA to the Chief Executive at Merrow Housing Group.

I have worked as a PA for twelve years, the last six supporting the chief executive of a regional charity with 400 staff. I manage her diary, inbox and travel, prepare board and committee papers, take board minutes and coordinate the executive team's weekly meeting. I also manage a team of two administrators and organised our annual conference for 300 delegates.

I know that a good executive PA protects the chief executive's time and represents her well to the board, partners and staff. I would bring that judgement to your organisation.

Thank you for considering my application. I would welcome the opportunity to meet.

Yours sincerely, Rachel Morgan

The structure under every letter

Use "Yours sincerely" with a name and "Yours faithfully" with "Dear Sir or Madam". Our guide to Dear Sir or Madam explains when to use it. For layout, see the cover letter format guide.

For the CV, see the personal assistant resume example and the administration CV example. For a more senior role, the executive assistant cover letter is closer. Keep the CV short and relevant; the one-page CV guide explains when one page is enough.
