Administration CV Example: 6 Admin CVs from Entry to Senior

A strong administration CV example shows three things in the first half page: the systems you run, the volume you handle, and proof that nothing slips when the day gets busy. The constraint is that admin hiring managers read for accuracy, so a single typo on an administrator CV does more damage than on almost any other kind. The National Careers Service describes the job plainly: "Admin assistants write letters, emails and reports, maintain data records and filing systems and provide support for meetings." Every admin CV says "excellent attention to detail". Plenty of them say it twice, in the profile and again in the skills list, and nobody in the process has ever noticed the irony except the person shortlisting.

What an administrator CV needs on page one

An administrator CV is two pages at most, and for most admin roles one page is better. Contact details at the top, then a three or four line profile, then experience with the newest job first, then education, then a short skills section that names software. The National Careers Service CV guidance lists the sections as "contact details, an introduction, your education history, your work history and references", and adds a rule UK applicants still break: "You should not include your age, your date of birth, whether you're married or your nationality."

Example 1: school leaver with no office experience

You have no admin job yet, so the CV leans on school, part-time work and anything you organised. The profile names the qualification and the software. The experience section writes a weekend job as if it were an office job, because the skills are the same: handling the public, cash, records.

Example 2: administration apprentice

Apprentices get hired on attitude and finish rate. The GOV.UK apprenticeship guide explains how the programmes work. Name the apprenticeship standard and level, the training provider, and what you actually did in the office each week.

Example 3: administrator with three years in post

This is the administrator CV example most people need. The bullets carry numbers that a manager can check in the interview: how many diaries, how many records, how fast the work turns round.

Retail, hospitality and care workers already do admin. They just do it standing up. The CV pulls the paperwork part of the old job to the front and says so in the profile.

Example 5: senior administrator

Senior admin is about owning a process, not just running it. Show the systems you set up, the people who rely on your work, and the problem that went away because of you. The National Careers Service puts the core of the job in one line: "Time management and the ability to prioritise tasks is really important in administration."

Example 6: office manager

At office manager level the admin tasks move to the background and the CV shows budgets, suppliers and people. The National Careers Service describes it as a role where "Office managers oversee the day-to-day operations in an office or department."

How to write the profile for an admin CV

The profile is three or four lines. Line one says what you are and where. Line two names the systems and the volume. Line three is the one thing you are known for, with a number if you have one. Skip "hard-working team player", because every other admin CV in the pile already has it.

Skills that belong on an administrator CV

Name software, not adjectives. The National Careers Service lists the skills employers look for, including "to be thorough and pay attention to detail" and the ability to use "the main software packages competently". You prove the first one with an error-free CV and the second one by naming the packages.

What should an administration CV include?

Contact details, a three or four line profile, work history with the newest job first, education and a short skills section that names your software.
