An application letter sample is a one-page business letter that names the job, gives two or three reasons you fit it, and asks for an interview, sent with your resume. The constraint is focus: one job per letter, because a letter written for every vacancy reads like it was written for none. The Purdue Online Writing Lab lists the four parts every letter needs: heading, introduction, body and closing. Seven complete letters follow, from fresh graduate to experienced nurse. Written by Mustafa Tarabya, who hired for his own company, read every application himself and now writes CVBooster's guides.
Every pile has a letter that says "I am hardworking, dedicated and a fast learner." Every pile has forty of them. The samples below say what the person did instead, which is the only thing that separates one letter from the next.
Application letter sample for a fresh graduate
The most searched version: a new graduate, no full-time job yet, applying for an advertised entry-level post.

Fresh graduate: application letter for a junior HR assistant post (182 words)

Ms. Carla Santos HR Manager, Northgate Foods Inc. Santa Rosa, Laguna
Dear Ms. Santos:
I am writing to apply for the Junior HR Assistant position posted on your company's careers page. I graduated in June with a BS in Psychology from the University of the Philippines Diliman, and I completed my on-the-job training in recruitment at a BPO in Pasig.
During my training I screened applications for two customer service campaigns, scheduled initial interviews for the recruiters, and kept the applicant tracker up to date every day. I learned that a good recruitment process depends on small things done on time, and I was trusted with the interview calendar by my second week.
Your posting asks for someone organized and comfortable with spreadsheets. I keep my own records in Excel and Google Sheets, and I can start immediately.
Thank you for considering my application. My resume is attached, and I would welcome the chance to discuss the role with you.
Respectfully yours, Maria Angela Reyes
Four paragraphs, one job, and every claim tied to something she did. That is the whole template.
The application letter format, part by part
- Your heading. Name, address, mobile number and email at the top, then the date.
- The employer's block. The person's name and title if you can find it, the company and the city.
- Greeting. "Dear Ms. Santos:" beats "Dear Sir/Madam" every time you can get a name. Our guide to Dear Sir or Madam covers the case when you cannot.
- Paragraph one. The job title, where you saw it, and who you are in one sentence.
- Paragraph two and three. Proof: one paragraph per qualification the advert asks for.
- Closing. Thank them, say the resume is attached, ask for the interview.
Purdue's writing lab gives the body rule in one line: "Focus each paragraph on one qualification that shows you are a good match for the job and organization." Its formatting tips page keeps the shape simple: "Write one introductory paragraph, one to three paragraphs to highlight your skills, and one concluding paragraph."
An application letter and a cover letter are the same document under two names; in the Philippines, India and Nigeria the first name is more common. For the step-by-step writing method, use how to write a cover letter.
Application letter sample for a teacher

Experienced: application letter for a Teacher I position, public school (146 words)
Dear Dr. Mendoza:
I am applying for the Teacher I position in Mathematics at Rizal National High School, as announced in your division memorandum. I hold a Bachelor of Secondary Education major in Mathematics and passed the Licensure Examination for Teachers in 2023.
For the past two years I have taught Grade 8 and Grade 9 Mathematics at a private school in Antipolo. I prepare my own daily lesson logs, use short weekly quizzes to find which students are falling behind, and run a Saturday remedial class that the school asked me to continue this year.
I would bring the same habits to your school: clear lesson plans, careful record keeping, and regular contact with parents about progress.
Attached are my resume, transcript of records and PRC license. I would be glad to attend a demonstration teaching session at your convenience.
Respectfully yours, Jose Miguel Santos
Application letter sample for a nurse

Experienced: application letter for a staff nurse post (137 words)
Dear Ms. Bautista:
I am writing to apply for the Staff Nurse position in the Medical Ward at St. Luke's Medical Center, advertised on your hospital's website. I am a registered nurse with four years of ward experience in a tertiary hospital in Manila.
In my current role I care for up to eight adult patients a shift, give and document medications, and coordinate discharge teaching with families. I precept new graduate nurses during their first three months, and two of the nurses I trained now work as charge nurses.
I hold current Basic Life Support and Advanced Cardiac Life Support certificates, and I am comfortable with electronic health records.
My resume and PRC license are attached. Thank you for your time; I look forward to hearing from you about an interview.
Sincerely, Kristine Joy Bautista, RN
Application letter sample for office staff or administrative assistant

Mid level: application letter for an administrative assistant job (131 words)
Dear Mr. Lim:
I would like to apply for the Administrative Assistant position at Lim Trading Corporation that I saw on JobStreet. I have three years of office experience supporting a sales team of twelve.
My daily work covers encoding sales orders, preparing delivery receipts, answering client calls and keeping the filing system in order. Last year I set up a shared folder system for quotations, so the team now finds any client document in under a minute instead of searching email threads.
Your advertisement asks for strong Excel skills and attention to detail. I prepare our weekly sales summary in Excel and I have not had a correction returned on it in two years.
I have attached my resume. I am available for an interview any weekday.
Sincerely, Liza Fernandez
Application letter sample for a sales associate

Entry level: application letter for a retail sales associate (118 words)
Dear Store Manager:
I am applying for the Sales Associate position at your SM North EDSA branch, as posted on your store's Facebook page. I am a second-year business student looking for weekend and evening work, and I have six months of selling experience at a mall kiosk.
At the kiosk I greeted walk-in customers, explained phone accessories, handled cash and card payments, and closed the till at the end of each shift without a shortage.
I enjoy talking to customers and I am comfortable on my feet for a full shift. I can work Fridays after 4 p.m. and all day Saturday and Sunday.
My resume is attached. Thank you for considering my application.
Respectfully, Paolo Garcia
Application letter sample for a call center agent

Fresh graduate: application letter for a customer service representative (127 words)
Dear Hiring Team:
I am writing to apply for the Customer Service Representative position on your US healthcare account, posted on your careers site. I am a recent Communication graduate from the University of San Carlos with a TOEIC score of 905.
During college I tutored English to Korean students online for two years, which taught me to stay patient and clear with people who are confused or upset. I am used to working night hours and I type at 50 words per minute.
I am ready to start training on any shift, including graveyard, and I live ten minutes from your IT Park site.
My resume is attached. Thank you, and I hope to hear from you about the next step.
Sincerely, John Paul Dela Cruz
Application letter for any vacant position
When you send a letter without an advert, say so in the first line and name the kind of work you want, not "any position". A letter that asks for anything gives the reader nothing to match. For the full method, see our letter of interest guide.

Any vacant position: letter to a company with no advert (120 words)
Dear Ms. Aquino:
I am writing to ask whether you have any vacancy for an accounting or bookkeeping role at Aquino Builders. I know your company from the subdivision projects in Bacoor, and I would like to work for a builder that is growing in Cavite.
I am a BS Accountancy graduate with one year as a bookkeeper for a hardware store, where I recorded daily sales, reconciled the bank account each month and prepared the documents for our external accountant.
If there is no opening now, I would be grateful if you kept my resume on file for the next one. I can come to your office for a short interview at any time.
Respectfully yours, Ana Marie Torres
Mistakes that send a good letter to the bottom
- One letter for every job. If the company name could be swapped without changing a word, rewrite it.
- Listing traits without proof. "Hardworking" is a claim; "closed the till without a shortage" is evidence.
- Repeating the resume line by line. The letter picks two or three points and explains them.
- Going past one page. Harvard's Mignone Center for Career Success puts it simply: "Keep letters concise and factual, no more than a single page."
- Forgetting the attachment. Name what is attached in the last paragraph and then attach it.
Your resume should answer the same advert. Build it in CVBooster: filling any of the 99 templates is free after you sign in, with the ATS score and gap list; the PDF and Word download is Pro. Our short cover letter examples help when an online form limits the letter to a few lines.
Some employers in India and the Philippines ask for a biodata with the letter instead of a resume; our biodata format page has six filled samples.
Frequently asked questions
How do you write a simple application letter?
Write four short paragraphs on one page. Name the job and where you saw it, give one paragraph of proof for each main requirement in the advert, then thank the reader and ask for an interview. Put your contact details at the top and sign off with "Sincerely" or "Respectfully yours".
What is the difference between an application letter and a cover letter?
There is no real difference. Both are the one-page letter that goes with your resume and explains why you fit one job. "Application letter" is the more common name in the Philippines, India and Nigeria, while "cover letter" is the usual name in the United States and Canada.
How do I start an application letter?
Start with the job title and where you found it, then one sentence on who you are: "I am writing to apply for the Junior HR Assistant position posted on your careers page. I graduated in June with a BS in Psychology." Skip openers about your excitement or the company's long history.
How long should an application letter be?
Keep it to one page, usually three to five short paragraphs and well under 400 words. Long letters get skimmed, so spend the space on two or three pieces of proof that match the advert rather than restating every job on your resume.
Can I use the same application letter for every job?
You can keep the same structure, but rewrite the first paragraph and the proof paragraphs for each job. The reader checks whether you answered their advert. A letter that names their job title and the skills they asked for gets read; a letter that could go anywhere usually does not.
