The Chat GPT resignation letter prompt that works
Give the model the facts and the limits in one message. A vague request gets a vague letter; a specific one gets something you can send after a single read. This is the prompt to copy:
"Write a resignation letter from me, Jordan Ellis, Inventory Coordinator, to my manager, Dana Brooks. My last working day is Friday, October 23, 2026, which gives two weeks' notice. Thank her for training me on the warehouse system. Offer to document my open purchase orders before I leave. Under 150 words. Plain, warm, no clichés, no reason for leaving, no exclamation marks."

What ChatGPT gets wrong in a resignation letter
The first draft from any chatbot has the same habits. Fix these before you send anything:
- It invents a reason. Unless you told it why you are leaving, delete any sentence that explains it. You owe no reason, and a guessed one can be wrong in writing.
- It inflates the gratitude. One specific thank you is believable; three general ones read like a form.
- It gets the date wrong. Models often pair a date with the wrong weekday. Check the last day on a real calendar.
- It promises too much. "I will do everything possible to ensure a seamless transition" commits you to nothing and everything. Name the one or two handover tasks you will actually do.
- It adds a closing line about "staying in touch on LinkedIn". Leave that for your goodbye email.
- It writes like a press release. Read the letter aloud; if you would not say a sentence to your manager's face, cut it.
Resignation letter for a new job
When you have accepted another offer, you do not need to name the new employer. Ask the model to leave it out, and keep the letter to the notice, the date and the handover.

The more senior the role, the more the letter is about continuity. Give the model your real handover list and ask it to keep each item to one line. Do not let it add strategy talk.

Facts to check before you send it
A chatbot cannot see your contract or your state's rules, so check these yourself:
- Notice. Two weeks is a custom in most US workplaces, not a federal rule. Your contract, union agreement or handbook may ask for more, especially in senior or salaried roles.
- Final pay. The US Department of Labor says "Employers are not required by federal law to give former employees their final paycheck immediately." State law sets the timing, so look up your state before you assume.
- Benefits. USA.gov says "Unemployment insurance pays you money if you lose your job through no fault of your own." Quitting usually changes that picture, so do not let a chatbot write anything about being pushed out unless you mean it and can back it up.
- Privacy. Leave out salary figures, health details and anything confidential about the employer when you write the prompt. Give the model only what the letter needs.
