An acceptance resignation letter is the short reply an employer sends after an employee resigns: it confirms you received the resignation, states the last working day, and tells the person what happens next with pay, benefits and company property. It is a record, not a speech, so it should be accurate first and warm second. Below are six complete samples for the situations managers and HR actually face, from a formal letter to a two line email, plus what every version must contain. Most trouble after a resignation comes from one gap: nobody wrote the last day down, so everybody remembers a different one. The letter closes that gap.

What an acceptance resignation letter must include

Every letter accepting a resignation needs the same five facts, whatever the tone:

On pay, the US Department of Labor is clear that federal law sets no deadline: "Employers are not required by federal law to give former employees their final paycheck immediately. Some states, however, may require immediate payment." Check your state labor department before you write a date into the letter (DOL, Last Paycheck).

Use this when the resignation came as a signed letter and your company keeps a personnel file. It is the safest default.

Most resignations now arrive by email, and a short reply on the same day is better than a perfect letter a week later. Keep the facts; drop the ceremony.

The short version still states the last day and points to the next steps. If HR sends the formal details later, file both together.

When you are sorry to lose someone, say so once, then return to facts. Avoid anything that sounds like a promise of rehire you cannot keep, unless you mean it and policy allows it.

Accepting a resignation and shortening the notice period

Sometimes an employer prefers the employee to leave earlier than the date they offered, for example a salesperson moving to a competitor. Say clearly what date you are accepting and what you will pay for the notice period. Check your policy and any employment contract first.

A neutral acceptance letter when the relationship is strained

When the employee is leaving after a conflict, a performance plan or a complaint, write less. Every sentence may be read later by a lawyer, an unemployment office or a court. Confirm, inform, stop.

No praise, no criticism and no comment on the reasons. That is not coldness; it is the version that protects both sides.

Benefits and pay lines that keep the letter accurate

The benefits sentence is where most letters go wrong, usually by promising a date nobody checked. Two rules help. First, write the coverage end date only after HR or the benefits provider confirms it. Second, refer to continuation coverage without explaining it yourself. The Department of Labor tells former employees they have "60 days to enroll in COBRA, starting from when your coverage ends or when your COBRA election notice is provided to you or mailed" (DOL, COBRA FAQs), so the formal notice does the explaining and your letter only says it is coming. How do you write an acceptance resignation letter?

Thank the employee, confirm you received the resignation and accept it, state the last working day in full, explain final pay and benefits in one or two sentences, list what must be returned and who handles the handover, and close with a short goodwill line. Keep it under one page.

Do I have to accept a resignation in writing?

There is usually no legal requirement to reply in writing, but you should. A written acceptance fixes the last day and the pay arrangements on record, which prevents disputes and helps if an unemployment claim or reference question comes up later.

Can an employer refuse to accept a resignation?

In at will employment an employer cannot stop an employee from leaving. The letter acknowledges a decision that is already made. What you can decide is whether to have the employee work the full notice period or leave earlier, subject to your policy and any contract.

How soon should I send a resignation acceptance letter?

Within one or two working days. A same day email that confirms the last day, followed by a formal letter from HR, is a common and sensible pattern.

What should I not put in a letter accepting a resignation?

Leave out criticism, comments on why the person is leaving, promises about references or rehire you are not sure you can keep, and any pay or benefit dates you have not checked. In a strained situation, write only the facts.
