Virtual Assistant Cover Letter: 7 Examples to Adapt

A virtual assistant cover letter works when it does three things: names the exact tasks you will take off the employer's plate, proves you can do them without supervision with one or two figures, and shows you work well remotely. Keep it to one page and four short paragraphs. Below are seven complete letters for different situations, from a first VA job to an executive assistant role, followed by the structure that sits under all of them. Written by Mustafa Tarabya, who hired for his own company, read every application himself and now writes CVBooster's guides.

The person hiring a virtual assistant is usually someone who is drowning. They do not want to read about your passion for organisation. They want to know whether their inbox will be quiet on Monday.

Example 1: a first virtual assistant job

No VA history, but real admin work from somewhere else. Start with the tasks, then the proof.

Dear Ms. Carter,

I am applying for the Virtual Assistant role at Brightside Coaching. For two years I have run the front desk at a dental practice, where I manage a diary of 25 appointments a day, answer a shared inbox and chase unpaid invoices by email.

That is the same work you describe: calendar, inbox and invoice follow-up. I have worked from home on a part-time basis for the past six months, taking bookings for a local trainer through Google Calendar and Zoom, with no missed appointments.

I use Google Workspace and Slack every day, and I am learning Asana. I would welcome a short call to talk through your first month of tasks.

Sincerely, Jordan Lee

What the career offices say

MIT's career office says in its guide to writing an effective cover letter: "An effective cover letter is directed towards a specific position or company, and describes examples from your experience that highlight your skills related to the role." Harvard's career services gives a short rule in its resume and cover letter guide: "Address your letters to a specific person if you can." It adds: "Give examples that support your skills and qualifications."

For a virtual assistant, the examples are tasks. The U.S. Department of Labor's O*NET entry for administrative assistants lists the core duties, including "Schedule and confirm appointments for clients, customers, or supervisors." and "Maintain scheduling and event calendars." Name the tasks that the job advert names, in the advert's words.

Dear Mr. Okafor,

I am writing about the Virtual Assistant position at Harlow Consulting. Over four years as a freelance VA I have supported six clients, handling email, travel, expense reports and scheduling across three time zones.

For my longest client, a founder with a team of ten, I cut her inbox from about 400 unread messages to zero in two weeks and kept it there. I also rebuilt her travel booking process, which saved her roughly two hours a week.

I work well asynchronously, send a short end-of-day update to every client and use Notion, Asana and Calendly. I would like to bring the same routine to Harlow.

Best regards, Priya Nair

Dear Ms. Ferreira,

I am applying for the Executive Virtual Assistant role supporting your CEO. For five years I have supported a managing director at a logistics firm, managing a calendar with 15 to 20 meetings a week, preparing board packs and handling confidential correspondence.

Your advert asks for discretion and anticipation. In my current role I draft the weekly agenda for the leadership meeting, chase the actions that follow, and flag clashes before they happen. Our director has not missed a board deadline in my time with him.

I am comfortable working across time zones and using Microsoft 365, Zoom and Teams. I would welcome a conversation about how I can support your CEO.

Yours sincerely, Marcus Webb

Dear Hiring Team at Bloom Home,

I am applying for the E-commerce Virtual Assistant role. For two years I have managed product listings, orders and customer emails for a small Shopify store selling candles.

I upload and update about 40 listings a month, answer customer emails within a day and process returns in the same system. Last year I rewrote the product descriptions for the top ten items and the store's conversion on those pages rose, according to the owner's own figures.

I know Shopify, Etsy, Canva and Google Sheets, and I can start in two weeks. I would be glad to send examples of listings I have written.

Kind regards, Dana Reyes

Dear Ms. Singh,

I am applying for the Social Media Virtual Assistant position at Northwind Studio. For three years I have scheduled and written posts for four small business clients on Instagram and LinkedIn.

Each month I plan 30 posts, design them in Canva, schedule them in Buffer and send a short report of what worked. For one cafe client, I tested two posting times for six weeks and moved all posts to the better slot.

I would like to bring that routine to Northwind. I work Eastern time hours and can join a weekly call.

Sincerely, Chris Taylor

Hello Ms. Gomez,

Your post asks for a virtual assistant to manage email, calendar and a monthly newsletter. I have done exactly that for a consultant for the past year.

I clear her inbox twice a day, book client calls around her school pick-ups and send a newsletter on the first Tuesday of each month through Mailchimp. Her list has grown by about 300 people over the year.

I can start next Monday and offer a one-week trial so you can see how I work. My rate and references are in my profile.

Best, Amy Collins

Mid level: Career changer from teaching (91 words)

Dear Mr. Patel,

I am applying for the Virtual Assistant role at Clearpath Tutoring. After six years as a primary school teacher, I now do remote admin for two tutoring businesses.

Teaching taught me to plan a week in advance and to keep parents informed. I now schedule lessons, send reminders and handle payments for about 60 pupils, with a very low rate of no-shows.

I know Google Workspace, Zoom and Stripe, and I understand how a tutoring business works from the inside. I would welcome a call.

Sincerely, Hannah Brooks

The structure under every letter

MIT's guide says to try not to simply repeat your resume in paragraph form and to complement it with more detail about key experiences. For a VA, the extra detail is a routine: how you start and end the day for a client. Our cover letter format guide covers the layout. For the matching resume, see the virtual assistant resume our administration resume examples and the administration CV example.

What to leave out

Frequently asked questions

How do I write a cover letter for a virtual assistant job?

Name the role, show two or three matching tasks with figures, add one paragraph on remote work and tools, and end with a short ask for a call.

How long should a virtual assistant cover letter be?

One page, in four short paragraphs. Many good ones run about 200 words.

What skills should I mention in a VA cover letter?

Only the ones in the advert: calendar management, inbox management, scheduling, invoicing, social media or customer support, plus the tools that go with them.

Can I write a VA cover letter with no experience?

Yes. Use admin work from any job, school or volunteering, say how you would work remotely, and be specific about the tools you know.

Should I address the cover letter to a person?

Yes, if you can find a name. Otherwise write to the hiring team of the company.
