Administration resumes examples that get interviews all show the same thing: an office that ran better because you were in it, measured in the people you supported, the systems you kept, the money or time you saved and the volume you handled. The constraint is that admin duties look identical on every resume, so the job title does nothing and the numbers do everything. The duty wording here comes from the O*NET profiles for Secretaries and Administrative Assistants, Administrative Services Managers and General Office Clerks, checked in October 2026. Eight complete administration resume examples follow, from a first office job to an administrative services manager. Admin is the job where, if you do it perfectly, nobody notices you exist. Then you go on holiday for a week and the whole building learns your name. The resume has to make that week visible without you leaving.
The administrative assistant example comes first, because it is the most common administration resume of all.

Administrative assistant, mid level, four years (112 words)
Administrative Assistant, Hollis and Grant Insurance, Indianapolis IN. 2022 to present
- Support a sales director and a team of 14 account executives, managing calendars, travel and expense reports in Concur. - Answer and route the team line, and greet clients and carriers visiting the office. - Build and maintain the client database in Salesforce, cleaning 3,000 duplicate records in the first year. - Prepare quote packs, renewal letters and meeting minutes, and file every signed document the same day. - Order supplies and manage the office budget line for stationery and catering, coming in under budget two years running. - Train new team members on the CRM and the expense process.
Start from the official duties, then size them
The O*NET profile for Secretaries and Administrative Assistants lists 31 tasks. The ones most adverts copy include "Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals", "Create, maintain, and enter information into databases" and "Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material."
None of those sentences belongs on your resume as written. They describe the job. Your bullet adds who, how many and which system: how many people you supported, how many records you kept, which filing system you set up and what it fixed.
For a senior administration resume, the O*NET profile for Administrative Services Managers moves the language up a level: "Plan, administer, and control budgets for contracts, equipment, and supplies" and "Analyze internal processes and recommend and implement procedural or policy changes to improve operations, such as supply changes or the disposal of records." At that level the hiring manager wants budgets, vendors and process changes, not phones.

Entry level office assistant, first admin job (77 words)
Office Assistant (part time), Maple Grove Dental Group, Minneapolis MN. 2025 to present
- Answer the main line and take accurate messages for six dentists and two hygienists. - Scan, sort and file patient paperwork and correspondence into the practice system. - Open and route incoming mail, prepare outgoing mail and track courier deliveries. - Order office and kitchen supplies weekly from a set list. - Cover the reception desk at lunch and during staff meetings.

Office administrator, mid level, small business (93 words)
Office Administrator, Brightline Electrical Contractors, Sacramento CA. 2021 to present
- Run the office for a contractor with 40 field staff, covering payroll inputs, vendor invoices and job paperwork. - Process weekly timesheets in QuickBooks and send them to the payroll provider by Monday noon. - Track insurance certificates, vehicle registrations and safety training dates, sending reminders 30 days ahead. - Set up a shared drive with one folder per job, replacing paper files kept in three different offices. - Handle customer calls, quotes and job bookings when the owner is on site.

Executive administrative assistant, senior support role (88 words)
Executive Assistant to the CEO, Northgate Health Partners, Charlotte NC. 2020 to present
- Manage the calendar, inbox and travel for the CEO and coordinate with five vice presidents' assistants. - Prepare board packs for six meetings a year, take minutes and track every action to close. - Plan the annual leadership retreat for 60 people, from venue contract to agenda. - Screen requests for the CEO's time and redirect about half to the right executive. - Keep confidential HR and legal correspondence in a restricted filing system.

School office administrator, mid level (78 words)
School Office Administrator, Fairview Elementary School, Columbus OH. 2019 to present
- Run the front office for a school of 520 students and 45 staff. - Record daily attendance, call parents on absences and prepare state attendance reports. - Manage student records and enrollment files, including transfers in and out of the district. - Coordinate substitute teachers each morning and keep the staff absence log. - Handle visitor sign in and badge issue under the school safety policy.

Medical office administrative assistant, mid level (68 words)
Medical Administrative Assistant, Westbrook Cardiology, Atlanta GA. 2022 to present
- Schedule appointments, stress tests and echocardiograms for three cardiologists in eClinicalWorks. - Verify insurance and obtain prior authorizations before testing. - Scan and index outside records, referrals and test results to the patient chart. - Prepare daily schedules and pull charts for the clinical team. - Answer patient calls and route clinical questions to the nursing staff.

- Reconciled 1,200 vendor invoices against purchase orders in the city's finance system. - Built an Excel tracker for contract renewal dates, now used by the department. - Prepared meeting agendas and minutes for the weekly finance team meeting. - Answered public questions about utility billing by phone and email.

Administrative services manager, senior level (97 words)
Administrative Services Manager, Redwood Engineering Group, Portland OR. 2018 to present
- Lead a team of 6 covering reception, facilities, mail, records and office services for 300 staff in two offices. - Plan and control a 1.4 million dollar budget for leases, office services, equipment and supplies. - Renegotiated the copier and print contract, cutting the annual cost by a fifth. - Wrote the records retention schedule and ran the first secure disposal of archived files in ten years. - Hire, train and review the admin team, and run the office move planning for a new floor.
The administration resume skills block
Put your software where it is easy to find, in its own line under the summary: Microsoft Office or Google Workspace, the CRM or practice system, the accounting tool and anything for scheduling or travel. The O*NET profile for General Office Clerks lists "Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer." Name the system you kept, not "filing".
Then prove the soft skills in the bullets. "Organized" is a claim. "Set up one shared folder per job" is evidence.
Layout for an administration resume
One page up to about ten years, two for a senior manager. Summary, skills, experience, education. The Purdue OWL notes that "When your page is balanced, the reader will typically read anything in quadrant 1 first", so the summary and your latest job belong at the top left.
