An office manager cover letter is a one-page letter that shows you can run an office without being asked: scheduling, supplies, vendors, records and people, each with a number or an example. The one constraint: show a problem you fixed, not a list of tasks. O*NET, the US Department of Labor's occupation database, lists this among the tasks of the nearest occupation, first-line office supervisors: "Supervise the work of office, administrative, or customer service employees to ensure adherence to quality standards, deadlines, and proper procedures, correcting errors or problems." Below are six complete letters, from a general office to a senior role. Written by Mustafa Tarabya, who hired for his own company, read every application himself and now writes CVBooster's guides.
The best office managers are invisible when things go well. The cover letter is the one time they are allowed to tell you what they quietly fixed.
An office manager cover letter, built from the posting
An assistant moving up into a first office manager role. The letter picks three things the posting asks for and answers each with a fact.

Mid level: Office manager cover letter, general office (152 words)
Dear Ms. Reyes,
I am applying for the Office Manager position at Brightwater Engineering. For four years I have been the administrative assistant for a 22-person engineering firm, and for the last year I have run the office while the manager was on leave.
Your posting asks for three things. For scheduling and supplies, I manage the conference rooms, travel bookings and a $1,800 monthly supply budget, and I moved ordering to a single weekly list that cut rush deliveries. For vendors, I renegotiated our copier and phone contracts and saved the firm about $4,200 over the term. For people, I onboarded seven new hires with a checklist I wrote, so each had a desk, accounts and badge on day one.
I am comfortable with Microsoft 365, QuickBooks entries for office expenses and calendar systems. I would welcome the chance to talk about how I can run your office.
Sincerely, Priya Nair

What an office manager cover letter must do
Purdue's Online Writing Lab says to "State why you believe you are a good match for the position and the organization, including 2-3 key qualifications that you will address in the rest of the letter". For an office manager the three usually are:
- Operations: scheduling, supplies, facilities, budgets and vendors.
- People: onboarding, supervising, resolving conflict, being the first person anyone asks.
- Systems: the software and the records that keep the office running.
MIT's career office says to describe experience in terms that make its relevance clear and to "Quantify if you can" in its resume guide. The same applies to the letter: dollars saved, days cut, people onboarded and errors prevented.

Medical office manager

Mid level: Medical office manager cover letter (129 words)
Dear Dr. Okafor,
I am applying for the Medical Office Manager position at Lakeview Family Practice. I have seven years in physician offices, the last three as the lead administrator for a five-provider clinic with 12 staff.
At my current clinic I handle scheduling, insurance verification, billing follow-up and HIPAA compliance training. I reduced claim denials by checking eligibility the day before each visit, and I rebuilt the check-in process so the waiting room is rarely above six people. I work in athenahealth and Epic and have trained staff on both.
Your posting mentions a planned move to a second location. I helped open a second office at my current employer, handling licensing, equipment orders and staff hiring, and I would bring that experience to yours.
Sincerely, Grace Kim
Law firm office manager

Mid level: Law firm office manager cover letter (112 words)
Dear Mr. Lindqvist,
I am writing to apply for the Office Manager role at Barlow and Moss Law. I have managed the office of a 12-attorney firm for five years, supervising four support staff and handling vendors, billing records and the firm's calendar.
Accuracy and confidentiality are the core of the job, and I treat them that way. I maintain the conflicts database, check every outgoing filing against the court calendar and keep client files organized for audit. When the firm moved to a cloud document system, I led the file migration over a weekend, with no matter lost.
I would like to bring that care to your firm.
Sincerely, Daniel Reyes
First-time office manager in a small business

Entry level: Small business office manager cover letter (111 words)
Dear Ms. Whitfield,
I am applying for the Office Manager position at Harbor Landscaping. I have worked at your size of company before: for two years I handled the front desk, payroll entry and scheduling for a nine-person building contractor.
In that job I scheduled crews across four sites each week, ordered supplies against a monthly budget and kept the books current in QuickBooks. When the owner was away, customers asked for me by name. I am looking for a role where I run the whole office, and a growing company like yours is the right place to do it.
I am available to start in two weeks.
Sincerely, Marcus Bell
Senior office or operations manager

Senior: Senior office manager cover letter (109 words)
Dear Ms. Vasquez,
I am applying for the Office and Facilities Manager position at Cormac Industrial. For ten years I have managed the head office of a 140-person company, with responsibility for facilities, supplies, reception and a team of four.
I led the office move last year, planning the layout, vendors and staff communication for 140 people across a single weekend, and the office opened on Monday as scheduled. I also reduced annual office spending by moving to a preferred vendor list and consolidating three service contracts, a change that saved the company $38,000.
I would welcome the chance to bring that approach to Cormac's growth.
Sincerely, Omar Hassan
Career changer, from retail management

Mid level: Career changer into office management, cover letter (111 words)
Dear Hiring Manager,
I am applying for the Office Manager position at Pine Street Partners. For five years I have managed a retail store with 14 employees, and I want to bring those skills to an office where I handle scheduling, vendors and people all day.
In retail I scheduled 14 staff each week, managed a $1.1 million inventory budget and handled all vendor invoices. I rebuilt our onboarding so new hires were selling in three days rather than seven. I also have a certificate in office administration from Metro Community College, and I use Microsoft 365 daily.
I am ready to start and would welcome a conversation.
Sincerely, Tamara Okafor
What to leave out
- "Team player" and "multitasker". Replace them with the three things you actually ran at once.
- A task list. Use the three or four tasks the posting names, and give a result for each.
- Anything confidential. No client names or private records, even in a good story.
- A letter over one page. An office manager is hired to be efficient.
- Salary talk. Leave it until the employer raises it.
For the resume that goes with the letter, see the office manager resume and administrative assistant resume pages, and the receptionist cover letter. The general method is in how to write a cover letter, and our organizational skills page shows how to prove the skill the job is built on. If you are moving up, the manager skills guide helps with the next step.
Frequently asked questions
How do you write an office manager cover letter?
Name the role in the first sentence, pick the three requirements in the posting that matter most, and answer each with one fact and a number. Cover operations, people and systems. Close with your availability and keep the letter to one page, addressed to a named person where you can.
What should an office manager cover letter include?
It should include your years of experience, the size of the office you have run, evidence of handling scheduling, supplies and vendors, one example of managing people, the software you use and one problem you fixed. Include numbers such as staff supported, budgets handled or money saved.
Can I apply for office manager without management experience?
Yes, if you have run parts of an office. Use examples from administrative roles, such as covering for a manager, onboarding new hires or handling a supply budget. A letter that shows you already do the work of an office manager can outweigh a missing title.
How long should an office manager cover letter be?
One page, about 250 to 350 words, in three or four short paragraphs. Office manager roles value efficiency, so a tight letter is a point in your favor. If you cannot cut a paragraph without losing a fact, keep it; otherwise cut anything that repeats your resume.
