Thank You Letter Examples: Six Templates and the Rules

Send the thank you letter within 24 hours of the interview, by email, and make it specific enough that only you could have written it. Length is the trap: four short paragraphs beats a page. Purdue University's OWL, which has published the standard job search letter models since 1995, puts the test for the letter this way: it "should show the reader that you are thorough, courteous, efficient, and sincerely interested in the job". Below are six complete letters, checked in September 2026, for an interview email, a printed version, a two-line note, a referee, a rejection and a referral, plus a rules table and the address block for print. Written by Mustafa Tarabya, who hired for his own company, read every application himself and now writes CVBooster's guides.
The single thing that separates a letter that helps from one that is deleted is a detail from the conversation. Name the thing you discussed, then say what you will do about it.
After an interview, by email
This is the version almost everybody needs. Put the role in the subject line, thank them in the first line, spend the middle on one specific point from the interview, and close with one sentence of availability.

Thank you email after an interview, sent same day (169 words)
Subject: Thank you, Warehouse Team Leader interview, 14 September
Dear Ms Okonkwo,
Thank you for the hour this morning, and for walking me through the pick line rather than just describing it. It was more useful than any job description.
The part I keep thinking about is the 18 percent of orders you said arrive as mixed pallets and break the standard pick path. At Brightlane Logistics I ran into the same problem when we took on a garden centre client, and we handled it by pre-staging the odd-size items at the end of the line rather than the start. It cut our re-picks noticeably over the following quarter. I would be glad to sketch out how that would map to your layout.
You mentioned the decision would be made by the end of next week. I am available for a second conversation any afternoon, and my references are ready if you want them now.

After an interview, printed and posted
Employers in law, education and family businesses still notice a posted letter. If you post one, get the address block right: the US Postal Service's Publication 28 sets the standards for how a US address should be written.

The two-line note, when the interview was short
A twenty-minute screening call does not need four paragraphs. Send three sentences the same afternoon. The letter's job here is to be a timestamp and a spelling of your name.

To a referee who has been contacted
This is the letter almost nobody sends, and the one that keeps your referees warm for the next five years. Purdue's OWL is blunt about it: "When you know a firm contacted one of your references, you should thank the individual in person or by letter. In your letter, you should show appreciation for the assistance and describe the job you received."

Kellbridge Distribution called you last Thursday, and they offered me the Warehouse Team Leader job on Monday. I start on 6 October. Thank you for taking that call at short notice.
They told me you spent twenty minutes on it, which I did not expect and did not take for granted. Whatever you said about the scanner changeover clearly landed, because the operations director brought it up in the offer call.
I will keep you on my CV as a referee, and I will not use you again without asking first. If there is ever anything I can do for you or for anyone on your old team, say the word.

Write this one. It is the cheapest pipeline you will ever build, because the second choice candidate becomes the first choice when the hire falls through.

Dear Ms Okonkwo,
Thank you for letting me know, and for telling me it was close rather than sending a template.
I would still like to work at Kellbridge. If the Warehouse Team Leader role reopens, or if a shift supervisor post comes up on the second shift, I would be glad to hear about it before it is advertised.
One thing I would find useful: you mentioned my scanner experience was narrower than the other candidate's. If there is a specific system you would want to see on a CV next time, tell me and I will go and get it.

What not to write
- A restated CV. They have it. One new fact is the limit.
- "As we discussed" with nothing after it. Name the actual thing.
- A price. Salary talk belongs in the offer conversation.
- The same letter to three panel members. Write to the chair, or write three different ones.
- Anything you would not want forwarded. It will be forwarded.
- A second follow-up inside a week. One thank you, then wait.

Frequently asked questions
How do you write a reference letter for immigration?
State how long you have known the person and in what capacity, give dated facts rather than opinions, and sign with your full name, address and contact details. Do not claim legal conclusions. Check what evidence the specific form requires on the USCIS filing guidance page before you write, because requirements differ by form.
How to write a thank you email for an interview?
Send it the same day. Put the role and date in the subject line, thank them in the first sentence, spend the middle paragraph on one specific point from the conversation and what you would do about it, then give your availability. Four short paragraphs, around 150 words.
How to write an interview thank you email?
Write to one person, not the panel as a group. Open with thanks for their time, add one new fact about your experience that you did not get to say, reference something they told you, and close positively. Purdue's model warns against generalisations like "very informational and interesting".

Keep it to the four moves: thanks, a specific detail, one new piece of evidence, availability. Sign off with your phone number and email under your name so nobody has to search their inbox. Send from the same address you applied from, so it threads with your application.

Use a subject line that survives a crowded inbox: "Thank you, [role] interview, [date]". Then three or four short paragraphs. If you promised to send something in the interview, attach it here rather than saying you will send it later.
