A motivation letter for a postdoc is a one page letter to the principal investigator that says which of their projects you want to work on, what your PhD gives that project, and what you want to learn in their lab. The constraint is fit: a PI hires for one project and one skill gap, so a general letter about loving science is read as a mass mailing. The NIH Office of Intramural Training and Education puts the first rule in its cover letter guide: "Highlight the fact that you took the time to tailor your job application." Below are the structure and five complete postdoc letters, from a final year PhD student to a fellowship applicant, each with notes. You spent five years on one question. The PI will spend about one paragraph deciding whether it is their question too.

Postdoc cover letter or motivation letter: the same document

In the United States the document is usually called a postdoc cover letter. In Europe and in many fellowship calls it is a motivation letter, a letter of motivation or a statement of motivation. The content is the same: why this lab, why you, why now. Keep it to one page unless the call asks for more.

Dear Dr. Okafor,

I am applying for the postdoctoral position on bacterial persistence in your lab, advertised on the department website. I will defend my PhD in microbiology at the University of Wisconsin in May 2027 and could start in July.

My thesis asks how biofilm structure changes antibiotic tolerance in Pseudomonas aeruginosa. I built a flow cell imaging setup that follows single cells for 72 hours, and I showed that cells at the base of the biofilm survive tobramycin at concentrations that kill the surface layer. That work is in review, and I have two earlier co-authored papers on biofilm imaging.

Your recent paper on persister formation in urinary tract isolates is the reason I am writing. You used bulk killing curves, and the discussion names single cell tracking as the next step. That is the method I have spent four years building, and I would like to bring it to your clinical isolate collection.

What I want to learn is the genetic side. Your lab builds transposon libraries at a scale my lab never has, and I want to be able to connect what I see under the microscope to the genes behind it.

Notes on this letter: the second paragraph has one method and one result, not a thesis summary. The third paragraph names a specific paper and the gap its own discussion admits. The fourth paragraph shows the applicant wants to grow, which is what a PI is paying for when they hire a trainee.

What a PI reads for in a postdoc letter

A PI reading postdoc applications is usually looking for three things:

Dear Professor Albrecht,

I would like to apply for the postdoctoral position in electrochemical CO2 reduction in your group, as advertised on EURAXESS, the EU research jobs portal. I am completing my PhD in physical chemistry at the University of Michigan and expect to defend in March 2027.

During my doctorate I studied copper catalysts for CO2 reduction using in situ Raman spectroscopy. I designed a spectro-electrochemical cell that lets us measure intermediates while the catalyst runs, and I used it to show that surface oxide survives longer than our group had assumed. I am first author on two papers from this work.

Your group's work on operando X-ray absorption on the same catalysts asks the same question with a different tool. I believe combining the two methods could settle which copper sites are active, and I would like to propose that as my first project.

My motivation for moving to Germany is scientific and personal. I want to work at a synchrotron, which my current lab does not use, and I want to build my career in Europe. I am taking German classes and can work in English in the meantime.

A second postdoc or a change of field

If you are applying for a second postdoc, the letter has to answer one more question: why another postdoc instead of a faculty or industry job. The honest answer is usually a skill you need for the career you want. Say it.

My lab does not do experiments, and I have spent the year watching that prediction wait for someone else.

Your lab runs the exact behavioral task my models are built on and uses optogenetics in the same region. I want to learn surgery, recording and optogenetic silencing in your lab, and in return I can bring the modeling your recent grant aims describe as a future goal.

I am clear that this is a step back in seniority and a step forward in what I can do. My goal is a faculty position where I run both sides of the work, and I cannot get there with models alone.

Fellowships fund you, not the lab, so the letter is about your plan and why this host is the right place to carry it out. Read the call's own words and answer them. The European Commission describes the Marie Skłodowska-Curie Postdoctoral Fellowships this way: "The Postdoctoral Fellowships action targets researchers holding a PhD who wish to carry out their research activities abroad, acquire new skills and develop their careers." A strong letter mirrors that sentence: your research, the move, the new skills and the career step.

How long should a motivation letter for a postdoc be?

One page, about 250 to 400 words, unless the call gives a different limit. A PI reads it to decide whether to open your CV, so keep each paragraph to one job: who you are, what you did, why this lab and what you want to learn. Fellowship calls sometimes ask for a longer statement.

What should I write in a postdoc motivation letter?

Your PhD question, the methods you own and one result, then a specific project or paper from the lab and what your skills add to it. Close with what you want to learn, your start date and your references. Every sentence should be one the PI could not read in another applicant's letter.

Is a postdoc cover letter the same as a motivation letter?

Yes, for most applications. US labs usually say cover letter, and European institutions and fellowship calls often say motivation letter or letter of motivation. Both answer why this lab, why you and why now. If the call asks for a separate research statement, keep the letter short and point to it.

Should I email the PI before applying for a postdoc?

If there is no advertised position, yes, with a short inquiry email, your CV and a one page summary of your work. If there is a posting, apply through it and address the letter to the PI by name. A short email after applying is fine if the posting gives a contact.

How do I write a postdoc letter when changing fields?

Name the change in the first paragraph and give the reason in terms of your research question, not your boredom. Then show what you bring that the new lab lacks, such as a method or an analysis, and what you need to learn from them. That makes the move a trade, not a risk.
