How to write a paralegal resume

Paralegals bill. That single fact drives how the resume is read. At a firm your work goes onto a client invoice at a rate, and the partner deciding whether to interview you is calculating whether you can produce billable, defensible work product without an associate rewriting it. At a corporate legal department or a government office the calculation is the same in different currency: how much attorney time you take off the top.

So the strongest paralegal resume is a catalog of work product, not duties. Deposition summaries, privilege logs, discovery responses, cite-checked briefs, closing binders, entity minute books, trial exhibit lists. Each one is a thing an attorney would otherwise have done, and each one names a practice area, which is the second thing the reader is sorting for.

Format: certification and practice area high, software right below

One page under eight years, two pages after that if you have worked across several practice areas. Reverse-chronological, single column, no graphics. Put your certification after your name if you hold one, since it is a recognized signal in the field and screening software matches on the abbreviation.

Follow the summary with a short technical block naming the research platforms, the electronic discovery review tools and the case management systems. Litigation groups screen hard on review platform experience, and burying it costs you interviews.

Summary: practice area, case posture, and volume

Name the practice areas: complex commercial litigation, insurance defense, personal injury plaintiff work, corporate and securities, real estate, immigration, estate planning and probate, employment, or intellectual property. Each has its own document set, and an insurance defense paralegal and a corporate paralegal share almost no daily work.

Then the posture and the volume. Whether you support cases through trial or mainly through settlement, how many active matters sit on your desk, and how many attorneys you support. Finish with the specific thing you are best at: building privilege logs, managing document review teams, or running the closing checklist on financings.

Experience: work product, and the judgment inside it

Write bullets around deliverables. Drafting discovery requests and responses for attorney review, summarizing depositions and medical records, preparing privilege logs, cite-checking and Bluebooking briefs, preparing tables of authorities, assembling trial exhibits, drafting subpoenas, and managing document productions with Bates numbering and confidentiality designations.

Corporate paralegals should show entity work: formation filings, annual reports and registered agent management, minute books and board consents, capitalization tables, securities filings, and diligence request list management during a transaction. Litigation paralegals should show the discovery machine: custodian interviews, collection coordination, review workflow, production specifications and the load files that go with them.

Show judgment within the limits of the role. You can describe deciding what to escalate, spotting a missing element in a discovery response, catching an expired deadline, or flagging an inconsistency between a medical record and a deposition. What you cannot do is imply you gave legal advice, and a hiring attorney reads carefully for that line.

Trial and closing: the high-visibility work

If you have gone to trial, say so with specifics. Number of trials, the courts, whether you sat at counsel table, and what you ran: exhibit management, witness scheduling, daily transcript coordination, demonstrative preparation and the trial notebook. Trial-tested paralegals are scarce and firms pay attention to that line.

The corporate equivalent is closing. Say how many transactions you closed, the size range in general terms, and what you owned: the checklist, the signature packages, the diligence data room, the post-closing filings and the bound closing set. Both are the moments where a paralegal either holds the file together or does not.

Platforms, certification and the words in the posting

Name the platforms exactly: the legal research services, the electronic discovery review platforms, the document management systems, the case and matter management tools, the court filing portals and the trial presentation software. Say your depth in each, because review platform administration is a different claim from having reviewed documents in one.

A national certification is worth listing prominently. Mirror the posting vocabulary once in the summary and once in the experience: e-discovery, privilege log, document production, trial preparation, legal research, case management, filing and compliance. Include the practice area name itself, since firms filter on it first.
