Receptionist Job Descriptions for a Resume: 9 Examples

A receptionist job description for a resume is four to six bullets that turn the duties of the front desk into numbers: calls a day, visitors a day, calendars managed, and the systems you ran. The constraint is that a duty list copied from a job advert describes the job, not you, so every line needs a count, a system or a result that belongs to your desk. The duty wording here comes from the O*NET profile for Receptionists and Information Clerks, which lists 19 official tasks, checked in October 2026. Nine complete examples follow, from a first front desk job to an office coordinator. Written by Mustafa Tarabya, who hired for his own company, read every application himself and now writes CVBooster's guides.

The advert said "answer phones". You answered phones, the door, two couriers, a man looking for the dentist next door, and a printer that has never once been told no. None of that is on your resume yet.

Here is the version for a working receptionist in a busy office, which is the one most people need.

Use the official duty wording, then add your number

The O*NET profile for receptionists is the duty list most front desk adverts are built from. Among its 19 tasks are "Operate telephone switchboard to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments", "Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations", "Schedule appointments and maintain and update appointment calendars" and "Receive payment and record receipts for services."

Those are the duties. Your resume adds the size of each one. "Answered phones" tells a hiring manager nothing; "Answered 80 to 120 calls a day on a 12 line system" tells her you can cover her desk on a Monday.

O*NET also lists one task that candidates skip and office managers notice: "Keep a current record of staff members' whereabouts and availability." If you ran the sign in book or the fire list, say so. It is the line that shows you are trusted with the building, not only the phone.

Job duties of a receptionist for a resume: the short list

The job duties of a receptionist for a resume are the front desk tasks a hiring manager expects to see: calls, visitors, scheduling, payments, mail and records. These are the resume receptionist duties that show up in almost every front desk advert. Pick the four to six that match the job you want, then add your own number to each, because a duty without a number reads like the advert rather than like your desk.

How to describe a receptionist on a resume

The description of a receptionist on a resume works in three places. In the summary, one line says the kind of office, the volume and the system. In the experience section, the bullets above carry the detail. In the skills block, you name the software: phone system, scheduling tool, practice or hotel system, and Microsoft Office.

Put the summary and your most recent job near the top. The Purdue OWL explains why the top of the page matters: "When your page is balanced, the reader will typically read anything in quadrant 1 first." CareerOneStop, the US Department of Labor's careers site, offers a Resume Writing Guide to "help you write each section of your resume", which is a good check once your bullets are done.

For a full sample with a finished layout, see the receptionist resume example and the medical receptionist resume. The receptionist cover letter uses the same numbers in a different shape, and the bartender job descriptions for a resume show the same method for another front of house job. If your summary needs work, the resume summary examples are written by level. For stronger first words on each bullet, use the resume action verbs list, and the resume skills guide shows where the software line goes. If you are moving from the front desk into wider office work, the administration resume examples show the next step up.

Frequently asked questions

What is a good job description for a receptionist on a resume?

A good one is four to six bullets that each carry a number or a system: calls a day, visitors a day, calendars managed, payments taken and the software you used. Start each bullet with a verb, keep it to one line, and match the duties to the advert you are answering.

What are the job duties of a receptionist for a resume?

Answering and routing calls, greeting and signing in visitors, scheduling appointments, taking payments, handling mail and deliveries, and keeping contact and visitor records. Take the duties from the job advert, then add the size of each one from your own desk. Write "answer and route 80 calls a day on a 12 line system", not "answer phones". Add one line about what you were trusted with, such as cash, keys or the visitor list.

What skills should a receptionist put on a resume?

Phone and switchboard handling, scheduling and calendar management, Microsoft Outlook and Excel, the booking or practice system you used, cash and card handling, data entry and complaint handling. Put the software in its own skills line so it is easy to find, and prove the soft skills in your bullets.

How do I write a receptionist resume with no experience?

Use any job where you dealt with the public: retail, restaurants, a school office or volunteering. Describe it in front desk language, such as greeting, answering questions, taking payments and handling complaints. Add a short summary that names the receptionist role you want and the software you know.

Is a front desk job description different from a receptionist one?

They overlap almost completely. A front desk agent in a hotel adds check in, reservations and a property management system, while a medical receptionist adds insurance checks and patient scheduling. The method is the same: official duty wording, then your own numbers, as in the examples above.
