Certification for Office Managers: 6 Lines That Get Read

There is no single certification office manager candidates are expected to hold, so the job of the resume line is to say which body tested you, how, and when. The four credentials below publish their exam rules, and one popular option is a three to five hour open-note course that should be labelled as training, not certification. Each entry gives the body, what it publishes about time or cost, and the exact resume line, checked in September 2026. Written by Mustafa Tarabya, who hired for his own company, read every application himself and now writes CVBooster's guides.
Four credentials, one course certificate, and the line for each
1. Certified Administrative Professional (CAP), IAAP. IAAP describes CAP as something that "takes real-world applicable knowledge, along with learned concepts and theories", and makes the entry point clear: "Certification is the perfect next step in your career, whether you have a college degree or not." It runs monthly Certification Office Hours and separate Recertification Office Hours, so recertification is part of the deal.

2. Professional Administrative Certification of Excellence (PACE), ASAP. ASAP publishes the whole shape: four proficiency modules, "The total program takes up to an estimated 22 hours to complete", a final exam that is "an online, open-book exam featuring 120 multiple-choice questions in 90 minutes", where "The passing grade is 80%", plus "required recertification every two years" and additional retakes at $100 for three more attempts.

3. Certified Associate in Project Management (CAPM), PMI. Office managers who run fit-outs, moves and system rollouts use this one. PMI sets the eligibility as a "Secondary degree, such as a high school diploma, GED (general educational development), or global equivalent" plus "At least 23 hours of project management education completed before the exam". The exam is 150 questions in 180 minutes, and "You may attempt the exam up to three times in one year if you don't pass."

4. Certified Physician Practice Manager (CPPM), AAPC. This is the medical office route, and it belongs on a practice manager resume rather than a general one. The AAPC page for CPPM served only its title to our fetch on 12 September 2026, so this page quotes no fee, exam length or renewal rule from it. Take those from your own AAPC account and write them in the same shape as the lines above.

5. Business Office Manager certificate, MSI. Useful, but label it accurately. MSI states "Average Completion Time: 3-5 Hours", that "There are no prerequisites for this certification program", that the exam is "open note", "meaning you may use any notes you’ve taken while studying", and that the credential comes "with no renewal fees".

Business Office Manager certificate, MSI, completed 06/2026. Self-paced online course with an open-note exam, 3 to 5 hours. Excel: XLOOKUP, pivot tables, Power Query, self-taught and used daily.
6. No certification yet. Write the booking, the study hours and the work that stands in for it. An honest in-progress line beats a vague claim, and it gives the interviewer a date to ask about.

CERTIFICATIONS AND TRAINING
CAPM (PMI): exam booked for 04 November 2026, 23 hours of project management education completed 08/2026. Managed a 14-person office, a $310,000 annual operating budget and three supplier contracts renegotiated in 2026.
How to tell a certification from a course
Three questions answer it, and every body above publishes the answers. Is the exam proctored or open book? Does the body issue a credential number? Is there a recertification cycle?
PACE is open book with an 80 percent pass mark and two-year recertification. CAPM is a 150-question exam under supervision. The MSI certificate is three to five hours with no prerequisites and no renewal. All three are worth holding, and they are not worth the same line on a resume.
CareerOneStop, sponsored by the US Department of Labor, gives the plain definition to test any claim against: a certification is "an award you earn to show that you have specific skills or knowledge in an occupation, industry, or technology", and "You usually need to pass a test to earn a certification."
Where the block goes on an office manager resume
| Your situation | Where to put it | Why |
|---|---|---|
| Advert names a certification | Certifications block above Education | It is the screening filter |
| Long administrative career, no credential | Skip the block, lead with budget and headcount numbers | Evidence beats an absent badge |
| Medical or dental practice | Certifications block with the compliance training | Practice managers are audited on both |
| Course certificates only | A Training block, labelled as training | Honesty here is the whole signal |
| Studying now | Certifications block, marked with the exam date | It gives the interviewer something concrete |
What to write when you have the job but not the badge
Office manager hiring is driven by scope, not by credentials. Numbers that carry a resume: headcount supported, budget owned, contracts renegotiated, systems migrated, audit findings closed.
Put two of those in the summary and one in every experience bullet. Then the certification block, whatever it holds, reads as confirmation rather than as the only evidence on the page.
Mistakes that make a strong administrator look weak
- Calling a three-hour open-note course a certification in the certifications block.
- Writing "certified office manager" with no body and no year.
- Listing five overlapping online certificates and no budget or headcount figure.
- Leaving off the credential number that IAAP, ASAP, PMI and AAPC each issue.
- Ignoring a two-year recertification cycle and leaving the line undated.
- Claiming CAPM before the exam is passed, rather than writing the booking date.
With the block sorted, work on the rest of the page using our guides to the professional summary, the skills section and how to make a resume. Administrators moving from support roles into management should also read the career change resume guide.
Frequently asked questions
What is a project manager certification?
It is a credential from a project management body, awarded after an exam. PMI's entry-level CAPM requires a secondary degree plus "At least 23 hours of project management education completed before the exam", and tests 150 questions in 180 minutes. For office managers it evidences moves, fit-outs and system rollouts.
Do office managers need a certification?
No, and most adverts do not require one. Scope evidence carries more weight: headcount supported, budget owned, contracts held. A certification helps when you are moving sector, moving up from an assistant role, or competing against candidates with degrees, which is the gap IAAP explicitly addresses.
Which certification is best for an office manager?
CAP from IAAP for general office management, PACE from ASAP for senior administrative work, CAPM from PMI if you run projects, and CPPM from AAPC for medical practices. Choose by what the adverts in your sector name, then check the exam format and the recertification cycle before paying.
How long does an office manager certification take?
It varies by body. ASAP states that PACE "takes up to an estimated 22 hours to complete", with one year from purchase to finish. PMI requires 23 hours of project management education before the CAPM exam. Short course certificates such as MSI's list an average completion time of three to five hours.
Are online office manager certificates worth it?
They are worth what you label them. An open-note, no-prerequisite course of a few hours is training, and listing it as training is credible. A proctored exam with a credential number and a recertification cycle is a certification, and that one earns a line in the certifications block.
