What actually gets this resume read

How to write a chief of staff resume

Chief of staff is a role defined by the person you serve, which makes it the hardest title on a resume to read cold. At one company it is an executive operations job running the leadership rhythm. At another it is a strategy job leading projects the chief executive cannot delegate to a function. At a third it is closer to a deputy, with teams reporting in. A chief executive screening candidates is trying to work out which of those you have actually done.

So the resume has to declare the shape of the job in the first lines: who you served, the size and stage of the organization, whether you had direct reports and a budget, and which surfaces you owned. Board materials, the operating cadence, the goal-setting process, executive communications, special projects and integration work are all separate remits, and few people have owned all of them.

This guide covers how to describe the principal and the mandate without breaching confidence, how to claim results for work you enabled rather than executed, what belongs in the page when much of your best work cannot be described, and the questions people ask when they move into or out of the seat.

Format: two pages, the principal and the mandate stated up front

Reverse chronological, two pages, plain formatting. Under each chief of staff role, write a scope line: the principal by title, the size of the organization, the stage it was in, your direct reports if any, and the surfaces you owned. Chief of staff to a chief operating officer at a 900-person company through a restructuring is instantly legible; chief of staff at a company is not.

Because the role is so varied, an explicit remit block near the top helps enormously. Four or five short lines naming what you owned lets a chief executive check compatibility before they read the history.

Summary: who you served, at what scale, and what you were hired to fix

Three or four lines. The principal, the organization size and stage, the functions you coordinated across, and the mandate. Chiefs of staff are almost always appointed to solve something: a leadership team that does not decide, a goal-setting process nobody follows, a chief executive spending time in the wrong rooms, a company integrating an acquisition, a board that needs better materials.

Name the mandate you were given and what changed because of it. That single sentence does more than any list of responsibilities, because the next chief executive is hiring against a mandate of their own and is matching it against yours.

Experience: the operating rhythm, the decisions, the projects

Group the work into the three things this job really contains. First, the operating rhythm: the executive meeting agenda and its preparation, the business review cycle, the goal-setting and tracking process, and the board and committee calendar with the materials that go into it. Give the cadence and the number of leaders or business units involved, because the coordination load is the work.

Second, decisions. Chiefs of staff turn ambiguity into a decision that sticks. Describe the memos and options papers you wrote, the analysis behind them, who decided, and what happened afterward. A resume that shows the decision path is far more convincing than one that lists meetings attended.

Third, the projects the executive owns personally: an integration, a reorganization, an office footprint change, a pricing overhaul, a crisis response, a fundraising or diligence process. These are the bullets with hard outcomes, so give them the space. Also say plainly where you led and where you coordinated, since chiefs of staff who overclaim are caught quickly by references.

Writing about influence without inflating it

The central difficulty of this resume is that your best work is often invisible and belongs to someone else. The honest solution is to write the mechanism rather than the outcome. You did not increase revenue; you built the review that surfaced the pricing gap, and the pricing change that followed produced the result. That construction is both true and more impressive, because it shows how you work.

Confidentiality is the other constraint. Do not describe personnel decisions, board disagreements or unannounced transactions. Describe the process you ran and the class of decision, not the content. A chief executive reading a resume that leaks the last principal's private business will assume the same about their own.

Earlier career, education and the language of the posting

Chiefs of staff arrive from consulting, finance, operations, product, program management or the military, and the route matters because it shapes what you are strong at. Keep the earlier career visible with the analytical or operating credentials it gave you, and compress the oldest roles to a line each.

Postings for the role repeat a recognizable vocabulary: executive partnership, operating cadence, strategic planning, goal frameworks, board management, cross-functional program delivery, executive communications, decision support and organizational effectiveness. Mirror the ones you can evidence, and be direct in the summary about the seat you want next, because the role is too varied to leave to inference.

Chief of Staff resume summary examples

First chief of staff seat

Chief of staff to the chief operating officer of a 300-person company, coming from a program management background. Owns the weekly leadership agenda, the quarterly goal cycle across 6 functions, and the operating review pack. Ran the office consolidation project alongside the regular cadence.

Chief of staff, scaling company

Chief of staff to the chief executive of a 900-person company through a period of rapid hiring. Rebuilt the quarterly goal process, lifting completion from 61% to 88%, and prepared 8 board cycles. Led the integration of a 40-person acquisition across systems, policies and reporting lines.

Senior chief of staff

Senior chief of staff to a chief executive of a multi-business organization, with 4 direct reports covering business operations, executive communications and program delivery. Owns the annual planning cycle, the board and committee calendar, and the special projects portfolio the executive team runs directly.

Work experience bullets: before and after

Before: Supported the CEO with day to day priorities and strategic initiatives.

After: Served as chief of staff to the chief executive of a 900-person company, owning the weekly leadership agenda, the quarterly planning cycle across 7 functions and the board reporting pack.

Scale, cadence ownership and named surfaces replace a description that could belong to an executive assistant or a deputy.

Before: Improved company goal setting.

After: Rebuilt the quarterly goal process into a single review with written updates before each session, raising goal completion from 61% to 88% over 4 quarters.

A described mechanism, a measured movement and a time frame make the process change credible.

Before: Prepared board materials.

After: Authored the board pack across 8 quarterly cycles, including the operating review, the risk summary and the strategy sections, and ran the pre-read process with committee chairs.

Naming what you wrote and the process around it distinguishes authorship from collation.

Before: Led cross-functional projects for the executive team.

After: Led the integration of a 40-person acquisition over 5 months, aligning systems, policies and reporting lines with no unplanned attrition among the acquired team.

A defined project, a duration and a result that mattered turn special projects into evidence.

Before: Helped the leadership team make better decisions.

After: Wrote 20 decision memos setting out options, trade-offs and a recommendation, and tracked the resulting decisions to completion in a single leadership log.

Artifact count plus a follow-through mechanism show decision support as a practice rather than a claim.

Chief of Staff resume questions

How do I describe a chief of staff role when most of the work is confidential?

Describe the process, not the content. You can say you ran the succession planning cycle, prepared eight board cycles or coordinated a diligence process without naming any person, price or outcome. Discretion shown on the page is itself a qualification for the seat.

Should a chief of staff resume claim company results?

Claim what you built and let the result follow from it. Saying you designed the review that surfaced a problem and tracked the resulting decisions is both accurate and more persuasive than claiming a revenue number that any reference check will attribute to a function leader.

What is the difference between a chief of staff and an executive assistant resume?

An executive assistant resume centers on calendar, travel, correspondence and access management. A chief of staff resume centers on the operating cadence, decision support, planning cycles and projects with outcomes. If your role covered both, split the bullets and lead with the second group.

What comes after a chief of staff role, and how should the resume prepare for it?

Most people move into a functional leadership role, general management or an operations directorship. Prepare by emphasizing the parts that transfer: teams you led, budgets you held, projects you owned end to end, and any function you ran directly during a vacancy.

How long should someone stay in a chief of staff seat?

The seat is commonly held for two to three years, and a resume showing that pattern reads as normal rather than as job hopping. If you served two principals in one organization, list them as separate entries so the progression and the different mandates are visible.
