Retirement Resignation Letter: How to Write It, 6 Samples

A retirement resignation letter says four things: that you are retiring, your last working day, a short thank you, and how you will help with the handover. It is the same document as any resignation letter, with more notice and a warmer last paragraph. The one constraint comes before you write it: settle your retirement benefits and health coverage dates first, because your last day sets them. USAGov notes that "You can start receiving Social Security retirement benefits as early as age 62." Below are the steps and six samples to copy. You have been composing this letter in your head for about ten years. The finished version is shorter than any of those drafts, and that is how it should be. Your manager will read it once, then go and find out who can do your job.
How to write a retirement resignation letter
- Check your dates first. Talk to HR or your benefits office about your pension, your retirement plan and your health coverage before you put a date in writing.
- Tell your manager in person, then send the letter. The letter confirms the conversation; it should not be how your manager hears the news.
- State the date in the first paragraph. "I am writing to let you know that I will retire on..." with the date as your last working day.
- Give more notice than a normal resignation. Two weeks is the usual minimum for a resignation; for a retirement, a few months gives your employer time to hire and train. Check your contract or handbook for any required notice.
- Offer a handover. Name what you will document or who you will train.
- Thank them in one or two sentences. Specific beats long.
- Keep it to one page. Sign it, date it, and keep a copy.

Employee: standard retirement letter with three months notice (106 words)
Dear Ms. Alvarez,
As we discussed this morning, I am writing to confirm that I will retire from my position as accounts payable specialist. My last working day will be Wednesday, March 31, 2027.
Working in this department for eighteen years has been a large part of my life, and I am grateful for the trust you and the team have shown me.
Before I leave, I will write up the month end close procedures and the vendor contact list, and I am happy to train my replacement during my final weeks.
Thank you for everything. I look forward to staying in touch.

Check these before you send it
Your last working day affects more than your final paycheck. Three things are worth confirming with HR in writing:
- Health coverage. If you are 65 or older and covered by an employer plan, find out when that coverage ends. Medicare.gov says the Special Enrollment Period for people with job-based coverage "Ends: 8 months after the group health plan coverage or the employment ends, whichever happens first."
- Pension and retirement plan. Some plans pay out differently depending on the date you leave, so ask before you pick it.
- Unused vacation and final pay. Ask how accrued leave is paid out and when.
If you work for the federal government, the process runs through your agency, not your manager alone. The OPM Retirement Center tells current federal employees to "please contact your agency's Human Resources or benefits office". Do that before setting the date in your letter.
Retirement letter after long service
After decades in one place, it is natural to want to say more. Keep the extra to one paragraph and make it specific.

Long service: retirement after 30 years with one employer (126 words)
Dear Mr. Okafor,
I am writing to let you know that I will be retiring after thirty years with Ridgeway Manufacturing. My last working day will be Friday, January 29, 2027.
I started on the second shift assembly line in 1997 and have spent the last twelve years as quality supervisor. I have watched this plant change completely, and I am proud of the people I trained along the way, several of whom now run their own lines.
Over the next three months I will finish the audit binder for the new inspection standard and spend time with Carla and Devon so they are ready to cover my responsibilities.
Thank you for the opportunities this company has given me and my family.

Manager retirement letter with a transition plan
A manager's letter has one extra job: show the business will not wobble. Name the handover steps and offer to help choose a successor.

Manager: department head retiring with a succession plan (114 words)
Dear Board Members,
I am writing to formally notify you of my retirement as Director of Operations, effective Wednesday, June 30, 2027.
I have discussed a transition plan with our CEO. Between now and my last day I will document our vendor contracts and budget process, introduce my deputy, Sarah Kim, to our key partners, and support the search for my successor, whether internal or external.
Leading this team for eleven years has been the most rewarding work of my career. I am confident it is ready for its next chapter.
I would be glad to remain available by phone for a short period after my departure if that would help.

Teacher retirement letter
Teachers usually retire at the end of a school year, and districts often ask for notice well before the spring hiring season. Check your district's deadline and address the letter to your principal, with a copy to human resources.

Teacher: retiring at the end of the school year (101 words)
Dear Principal Harris,
Please accept this letter as notice that I will retire from my position as a fourth grade teacher at Maple Grove Elementary at the end of the 2026 to 2027 school year. My last day will be the final teacher workday in June.
Teaching at Maple Grove for twenty two years has been a gift. I will leave my lesson plans and reading group materials organized for whoever takes over my classroom.

Retirement email to your manager
If your workplace handles notices by email, send the same letter as an email with a clear subject line. Keep it short, and attach a signed letter if HR requires one.

Retiring but open to part time or consulting work
If you would like to keep a foot in the door, say so in one sentence near the end, without making it a condition.

Employee: retirement with an offer of part time help (87 words)
Dear Mr. Patel,
I am writing to confirm that I will retire as senior payroll specialist on Thursday, December 31, 2026.
I have valued my nine years here and the chance to help build our payroll team. Before I leave, I will document year end procedures and train Maya on the quarterly filings.
After retirement I would be happy to help on a part time or contract basis during busy periods, if that would be useful.
