Human Resources Cover Letter: 6 HR Samples From Assistant Up

A human resources cover letter is read by the one group of people who read cover letters for a living, so it has to do what you would want a candidate to do: answer the advert, give one piece of evidence per claim, and stay under a page. The constraint is that HR readers spot template phrases instantly, because they have written the templates. O*NET, the US Department of Labor's occupation database, describes HR specialists as people who "recruit, screen, interview, or place individuals within an organization", and the best HR letters show that work with numbers and with judgment. Below are six complete HR cover letter samples, checked in October 2026, for an HR assistant, a generalist, a recruiter, an HR manager, an HR business partner and a career changer. Writing a cover letter for an HR job is like cooking for a chef. They will be polite about it. They will also know exactly which jar the sauce came from.

HR assistant or coordinator, entry level

At entry level the reader wants accuracy, discretion and someone who can run the admin side of onboarding without being chased. Pick one example that shows each.

I am applying for the HR Assistant position at Brennan Logistics. For the past two years I have been an office coordinator at Parkside Dental Group, where HR was a third of my job: I ran onboarding for 40 new hires across six practices and kept every personnel file audit-ready.

The part of the work I want to do full time is onboarding. When I started, new hires were arriving without logins or uniforms because the steps lived in three people's inboxes. I built a single checklist in our HRIS, assigned each step to an owner, and added a reminder a week before every start date. In the year after, no new hire started without a working login.

Your advert asks for experience with I-9 verification, HRIS data entry and confidentiality. I completed I-9s for every new hire at Parkside, I maintain records in BambooHR daily, and I am the person staff come to with questions they do not want overheard.

A generalist letter should show range without becoming a list. Choose one employee relations case and one process you improved, and keep both specific enough to be believable.

First, employee relations: I handle investigations from intake to close, including a harassment complaint last year that involved a senior provider. I interviewed eight witnesses, documented findings the same week, and the outcome held up when it was reviewed by outside counsel. Second, leave administration: I manage FMLA and ADA accommodation requests, and I rewrote our intermittent leave process so managers know exactly what they can and cannot ask.

Your posting mentions an open enrollment project and a new HRIS rollout next year. I was the HR lead on our move from paper benefits enrollment to Workday, including the training for managers, and I would be glad to share what I would do differently a second time.

Recruiters are measured on time to fill, quality of hire and hiring manager satisfaction. Pick the metric your target company cares about, which the advert usually tells you.

An HR manager letter needs one story about leading the HR function and one about advising the business. Numbers matter, but judgment matters more at this level.

First-year turnover fell over the next two years, and the plant director now uses the stay interview format in his own reviews.

I also led the site through a union organizing campaign, working with labor counsel, and through two OSHA inspections without HR-related citations.

Confidentiality is the trap. An HR letter that tells a juicy investigation story in detail has just shown the reader what you would do with theirs. Describe the process and the outcome, never the people.

Certification is worth naming if you have it. SHRM says its "SHRM-CP and SHRM-SCP certifications validate your knowledge and experience"; see the SHRM certification page and HRCI for the aPHR, PHR and SPHR. O*NET's human resources specialist entry lists the tasks the job description was probably copied from, which makes it a good source of matching words.

Writing to an HR manager about another job

Some searches for "cover letter to HR manager" are from people applying for a job outside HR, where the letter goes to the HR manager. The rules are the same as any professional cover letter: address them by name if the advert gives one, use "Dear Hiring Manager" if not, and write about the job, not about HR.

I wrote the adverts for my own company and read every letter myself. The ones that worked answered the advert line by line. The posting is the brief, and that is doubly true when the reader is the person who wrote it.

How do I write a cover letter for a human resources position?

Open with the role and your current title, including the headcount you support. Then give one story from employee relations, recruiting or onboarding and one process you improved, each with a result. Match two words from the advert, name any certification, and keep the whole letter under a page.

What should an HR cover letter include?

Your HR experience in scale terms, one example of judgment, one example of process improvement, the systems you use and any SHRM or HRCI certification. Leave out confidential details about real employees. HR readers judge your discretion by how you tell the story.

How do I write an HR cover letter with no HR experience?

Use the HR work you have done in another role: hiring, onboarding, scheduling, payroll, training, discipline or documentation. Say plainly that you are moving into HR, name any certificate course or the aPHR if you are preparing for it, and match the advert's words to that experience.

How do you address a cover letter to an HR manager?

Use their name if the advert or company website gives it: "Dear Ms Rivera". If not, "Dear Hiring Manager" is fine. Avoid "To Whom It May Concern", which reads like a form letter, and avoid guessing a name from LinkedIn unless you are sure they are the one hiring.

How long should an HR cover letter be?

Three to five short paragraphs, roughly 180 to 220 words, on one page. HR readers see a lot of letters, and a short letter with two specific examples is read in full. A long one is skimmed for the first line of each paragraph.
